Who we are
Wheelhouse is a job application product operated by Jordan Burnham-Bialik, an individual based in Massachusetts, United States. In this policy, “Wheelhouse,” “we,” “us,” and “our” refer to that operator. You can reach us at hello@wheelhousecareers.com.
This policy explains what we collect, why, who we share it with, and the rights you have over your information.
What we collect
We collect three kinds of information.
Information you give us directly
- Account information. Your email address and (if you sign in with a provider like Google) your name and profile photo.
- Experience Bank content. The career information you store with us, including roles, projects, achievements, skills, education, references, and any files you upload (resumes, work samples, transcripts, etc.).
- Job posting content. URLs, text, or files you provide so we can analyze a posting and prepare an application.
- Interview answers. Text or voice answers you give during the guided interview that powers the Fit Assessment and generated materials.
- Voice recordings. When you use voice input, your audio is streamed to our transcription provider (Deepgram). We retain the resulting transcript. We do not retain your audio after transcription completes.
- Payment details. If you buy credits, payment information is collected and processed by Stripe. Wheelhouse does not see or store your full card number.
- Communications. Anything you send us by email or feedback form.
Information we collect automatically
- Usage analytics. Pages visited, features used, clicks, and session timing, captured through PostHog so we can understand how the product is used.
- Diagnostics. Error reports and performance traces sent to Sentry when something breaks. These may include the URL you were on, your browser type, and a redacted snapshot of the failing operation.
- Cookies and similar. Cookies and local storage are used to keep you signed in, to remember your preferences, and to power analytics.
- Device and network. IP address, browser, operating system, and approximate location derived from IP, used for security and rate limiting.
Information from third parties
- When you sign in with a third-party provider (such as Google), that provider shares your email and basic profile with us.
- When you import a job posting by URL, we may fetch and parse the public contents of that page.
How we use your information
We use your information to:
- Provide the service you signed up for.
- Generate tailored application materials by passing your Experience Bank entries, job posting content, and interview answers to large language models on your behalf.
- Transcribe voice input so it can be turned into Experience Bank entries or interview answers.
- Authenticate you, secure your account, and prevent abuse.
- Process payments for credits you purchase.
- Understand how the product is used so we can improve it, fix bugs, and decide what to build next.
- Communicate with you about your account or material updates.
- Comply with our legal obligations and enforce our Terms of Service.
AI processing and training
Generating an application means sending parts of your Experience Bank, the job posting, and your interview answers to large language models routed through the Vercel AI Gateway. Different steps in the flow may use models from different providers (including Anthropic, OpenAI, Google, xAI, and others).
Your content is not used to train these models. We send your data to AI providers only to generate output for you, under contractual terms (zero data retention where available) that prohibit training on your content. Voice transcription via Deepgram is also configured so your audio and transcripts are not used for training.
Generated output is exactly that, generated. AI can produce inaccurate or misleading text. You are responsible for reviewing anything Wheelhouse drafts before sending it to a real employer. See our Terms of Service for the full disclaimer.
Who we share information with
We do not sell your personal information. We share it only with the service providers that make Wheelhouse work, and only to the extent each one needs.

We may also disclose information if required by law, to respond to valid legal process, to protect the rights or safety of users, or in connection with a merger, acquisition, or sale of assets (in which case we will give notice before your information becomes subject to a different privacy policy).
How long we keep your data
We keep your Experience Bank, applications, and account data for as long as your account exists. If you delete your account, we delete your content from our active systems within 30 days, except where we are required to keep records for legal or accounting reasons (for example, payment records that tax law requires us to retain).
Backups roll off on their own schedule and are typically purged within 90 days of deletion.
Your rights
You can access, correct, export, or delete your personal information at any time. Most of this is built into the product:
- Access and correct. View and edit your Experience Bank, applications, and profile from inside the app.
- Export. Export your applications as PDF or DOCX from the export step. Email us if you want a full copy of your account data in a portable format.
- Delete. Delete individual entries inside the app, or email us to delete your entire account.
If you live in the EEA, the UK, California, or another region with specific privacy rights, you also have the right to object to certain processing, restrict it, or lodge a complaint with your local data protection authority. Email hello@wheelhousecareers.com and we will respond within 30 days.
Security
We host on Vercel and store data in Supabase (Postgres and Storage), with row-level security on every table so your data is isolated to your account. Connections use TLS in transit. Payment data is handled by Stripe under PCI DSS.
No system is perfectly secure. If you suspect your account has been compromised, email us right away.
Children
Wheelhouse is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, email hello@wheelhousecareers.com and we will delete it.
International transfers
Wheelhouse is operated from the United States. If you use the service from outside the US, your information will be transferred to and processed in the US and other countries where our service providers operate. By using Wheelhouse, you consent to this transfer.
Changes to this policy
We will update this page if our practices change. The date at the top reflects the most recent revision. For material changes, we will give you advance notice in the product or by email.
